01Who we are

This website is operated by Arya Systems ("we", "us" or "our"), a software company based in Malé, Maldives. We are responsible for the personal information collected through this website. If you have any questions about this policy or about how we handle your information, you can contact us using the details at the end of this page.

02Information we collect

We only collect personal information that you choose to give us when you use one of the forms on this website: the Contact form, the Request a Demo form, the Start a Project form or the Partner Application form. Depending on the form, this may include:

• your name and, if you provide it, your job title;
• the name of your organisation or company;
• your email address and phone number;
• for partner applications, the programme you are applying for, your country and, if you provide it, your website;
• the products, services, preferences or other options you select;
• the message and any project details you write in the form.

If you arrived at our website through a partner’s referral link, the partner’s referral code is sent with any form you submit, so that we can credit the partner who introduced you. The code identifies the partner, not you.

Please do not include sensitive information, such as health information or financial account details, in a form message. We do not need it to respond to an enquiry.

Like most websites, our servers also record limited technical information when you visit, such as your IP address, the date and time of the request, the page requested and your browser type. This is described in more detail under "Server logs and security" below.

03How we use your information

We use the information you submit through our forms to:

• respond to your enquiry, demo request or project request;
• arrange and prepare for meetings or demonstrations you have asked for;
• follow up on the conversation you started with us;
• keep reasonable records of enquiries and business communications;
• review partner programme applications and, if an application is approved, set up and manage the partnership;
• attribute customers to the partner who referred them, where you arrived through a referral link.

We do not use your information for automated decision-making, and we do not add you to a marketing mailing list simply because you submitted a form.

04How your information is delivered and stored

When you submit a form, the details are sent to our team by email using an email delivery (SMTP) service provider. Where enabled, we may also send you an email confirming that we received your message.

We may also keep a copy of submissions in secure storage, or pass them to the internal systems we use to manage enquiries, so that we can respond and keep track of conversations. Access is limited to the people at Arya Systems who need it to handle your enquiry.

Partner applications, and information about approved partners and the customers and commissions linked to them, are processed in Arya Systems’ own partner system. Partners who sign in to the partner portal see only the records that belong to them; referral partners see the people they referred only in a masked form (for example, initials) with a status, and never their contact details.

Service providers that help us deliver email or host this website process information only on our behalf and only for those purposes.

05Server logs and security

Our web servers and hosting infrastructure keep standard logs, which include IP addresses. We use this information to keep the website secure and available, to diagnose technical problems, and to prevent abuse. For example, we limit how many form submissions can be sent from the same IP address within a short period to protect against spam and automated attacks.

Logs are kept only for as long as needed for these purposes and are not used to build profiles of visitors.

06Cookies and analytics

This website does not use advertising cookies, and it does not use third-party analytics or tracking services. We do not show advertising and we do not track you across other websites.

We use only the following first-party cookies:

• Referral cookie (arya_ref): a functional cookie that is set only when you visit our website through a partner’s referral link. It stores that partner’s referral code for 90 days so that, if you contact us, the partner who introduced you can be credited. It contains no personal information about you, and it is not set if you do not use a referral link.
• Partner portal session cookie (arya_portal): a strictly necessary cookie that keeps approved partners signed in to the partner portal. It is set only when a partner signs in, cannot be read by scripts on the page (httpOnly), and is removed when the partner signs out or the session expires.

You can delete or block cookies in your browser settings. Blocking the referral cookie does not stop you using the website; blocking the session cookie means the partner portal cannot keep you signed in.

If we introduce analytics or any other feature that uses cookies in future, we will update this policy before doing so and, where required, ask for your consent.

07Sharing your information

We do not sell, rent or trade your personal information. We share it only:

• with service providers that help us operate this website and deliver email, as described above;
• where we are required to do so by law or by a lawful request from a public authority;
• where necessary to protect our rights, our users or the security of our systems.

08How long we keep information

We keep the information you submit only as long as it is needed to respond to your enquiry and for legitimate business records, for example to remember the context of an ongoing conversation or project discussion. When it is no longer needed, we delete it or make it anonymous.

09Keeping information secure

This website is served over an encrypted connection (HTTPS). We take reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, but we work to protect the information you share with us.

10Your choices and rights

You can ask us at any time to tell you what personal information we hold about you, to correct it if it is inaccurate, or to delete it. To make a request, email [email protected]. We may need to confirm your identity before acting on a request, and we will respond within a reasonable time.

11Links to other websites

This website may contain links to other websites. We are not responsible for the privacy practices of those websites, and we encourage you to read their privacy policies.

12Changes to this policy

We may update this policy from time to time, for example if we change how the website works. The "Last updated" date at the top of this page shows when it was last revised.
